A Wedding Planning Checklist For Headache-Free Wedding Planning

When you plan a large event like your wedding, a wedding plan checklist is an absolute necessity in order to stay on a low budget, no matter who’s paying for what parts of the event. You can’t wait until the last minute to book everything and buy everything or you will spend thousands of dollars.

But if you start planning early enough and use a wedding To Do checklist, you’ll be able to get the best deals and maybe even have the time for do-it-yourself projects for ultimate savings. But using a wedding plan checklist or wedding planner will definitely help you keep things in order and lessen the confusion of when you’re supposed to do what.

So what goes on a wedding planning checklists? Wedding plan checklists basically show you what things you need to book ahead of time versus things that can wait until a couple of months before the wedding. And the earlier you can start your wedding planning, the most money you can save and the more headaches you can avoid. You’ll get the most use out of it and save the most money.

Different wedding planners will have different schedules, but it’s best to start your own wedding plan checklist at least nine months to a year before your wedding date, and if you can start planning 18 months in advance, it’s even better. This is a general outline of what your checklist should include:

Put together a tentative guest list. This will most likely change as you get closer to mailing out your invitations, but it will give you a good starting point for deciding how large of a reception venue you’ll need and about how many people you’ll be feeding.
Book your venues. Depending on where you want to have your ceremony and reception, some churches, fire halls and other locations tend to book very early, sometimes up to two years in advance. So this should be a top priority, even if you’re having the ceremony and reception at one location.
Book your music. Whether you’re thinking of a live band, DJ, violinist or solo guitarist, they often book their dates up to two years in advance as well. If you want to all but guarantee you get who you want, put this second on your wedding plan checklist.
Book your photographer or videographer. If you want to hire a professional photographer and videographer, they must be booked early too. Just like with a band or DJ, photography services can book wedding events up to two years in advance.
Shop around for reception menus. Start doing a price comparison to see what the best way is to feed your guests. Depending on the size of your guest list, you can do a variety of things – do-it-yourself catering by having your family members each contribute something to the menu; do an appetizer-only menu or go for the whole catering deal. And even caterers offer budget packages from doing a cold buffet menu to having a complete sit-down formal dinner.
Decide on a wedding theme. Your theme will determine just about everything else on your list from your favors and decorations to your bridesmaids’ gowns and reception décor.
Start thinking about your favors. Don’t let this be one of the things you cut in order to cut costs. If you plan early enough, you can save money here and still give your guests thoughtful Thank You favors to take home.
Plan your wedding invitation package. This includes your Save the Date cards, invitations, ceremony programs and thank you notes after the ceremony. If you plan early enough, you can save a lot of money even with a large guest list and still make your invitations say “You’re important,” to your invited guests.
Decide on your wedding ceremony and reception flowers. Real or silk will determine how far in advance you can get your flowers but you should start comparing prices early.
Decide on a wedding cake. The type of cake you want will determine how far in advance you need to order it and where you’ll order it from.
Start shopping for your bridal party attire. Will they be casual, formal; gowns or tea length dresses? Start getting some ideas early so you’re ready for when you need to purchase them.
Start looking at wedding shoes to wear with your gown. If you already have a gown in mind, you may be able to get the shoes first. Otherwise, just get an idea for now and do the actual shopping and purchasing later.
Start shopping for your wedding gown. The earlier you can do this, the less stress you’ll be under later to find the right one. You also want to have some breathing room for alterations should you need any.
Register with gift registries. Make sure you do this early enough so that just in case someone gives you a bridal shower, the guests will have some good ideas for gifts.

Again, this is a general wedding plan checklist that you’ll tailor to your specific needs depending on the size and formality of the event, how many attendants will be in the ceremony, size of the guest list, etc.

If at all possible, you should set your wedding date for at least 6 to 12 months away so you give yourself plenty of time for the details. Keep in mind that if you plan to book a popular reception venue, a DJ or caterer, some of these vendors book up to two years in advance so if you really want them, you may actually have to change your wedding date.

Planning a small wedding can be somewhat different from planning a larger one, but a nice result of planning a small wedding is lesser costs and confusions on that special day. Before planning a smaller wedding though, you’ll need to define specifically what you mean by “small”. For some people, a small wedding is just ten or fifteen of their closest friends and family. For others however, a small wedding includes at least 50 people.

For the sake of this article, we’ll consider planning this type of wedding to mean planning a wedding which will have 20 people or less. This makes things much easier to plan and pull off without a hitch, plus it can really help you keep your wedding budget low too!

Small Wedding Food Tips: When planning a small wedding of just 20 guests, you don’t usually have to worry about having a catered meal. Family members can get together and create a home cooked meal for your wedding reception instead, or you can make arrangements to have the meal at a local favorite restaurant.

If you’d rather have the meal catered anyway, you can still do so of course. Simply find a caterer who specalizes in smaller events, and work with them to plan the details for your own wedding reception.

Small Wedding Ceremony Tips: When planning a smaller wedding, you have many options for creative ceremonies. You can for instance, simply make arrangements to have your wedding ceremony in a small local chapel you’ve always adored, or get a permit from your county or city to use a pretty gazebo in your local park.

In fact, when planning your wedding you can actually choose to have the ceremony at your home, a friend’s home, or maybe the family home you grew up in. Since there won’t be too many people in attendance, it’s easy to fit the wedding ceremony in a variety of places that aren’t practical for larger ceremonies.

Some people prefer to have their weddings in unusual places too. A couple of four wheel drive enthusiasts for example, might plan a small wedding which involves driving to the top of a mountain and having the ceremony overlooking a beautiful lake or canyon.

Small Wedding Reception Tips: Planning a wedding that is small makes the reception planning much easier and less expensive too. You could for example, simply plan to have your wedding reception at a friend or family member’s home. You could have the wedding reception at a local park, or you could simply have everyone gather together at a favorite club for the reception too.

Keep in mind though: Just because you’re planning a wedding that is smaller does not mean you have to go super low budget. Small weddings can be “done up” in the very same way larger weddings can. Planning this type of wedding can still involve having gift registries, elegant invitations and thank you notes, formal ceremonies and celebrations, and all the trimmings of food, wine and spirits too.

How to Hire a Wedding Planner

It used to be that wedding planners were considered a luxury for the wealthy and/or celebrities. Nothing could be further from the truth.  If you are recently engaged, or even one month from your wedding and need a little help, here is a sensible, intelligent and real guide to finding that special someone who can get you down the aisle to your other special someone with style.  These are the quick, crucial bullet points you need NOW:

1) Talk to friends, vendors and look at blogs and sites that you trust.  Ask their recommendations.  Schedule meetings with at least three highly vetted consultants/planners after checking out their websites and seeing their work.  Come armed with questions and use this as your guide.  Most of all, follow your gut and see who you click with.  Those consultations should be by appointment only and of course, gratis!

2) First question: do you like their style (of manners, humour, dress,  organization)?  Does he or she make you smile/feel calm? If so, that’s a good sign you’ll be a great team.  Remember, a wedding planner is part budget guru, part organizational ninja, part shrink, part style consultant and part family therapist.  He or she (and their team) will be your sanity, your laugh, your respite and your guide.  Choose wisely!

3) How long has he/she been in business? How many weddings has he/she executed?  If the answer is “I planned my own wedding and it was SO much fun” or, ditto, “I planned my daughter’s wedding and it was so fulfilling!” then, run.  These are called hobbyists and there are hundreds of them masquerading as experienced pros.  Taking a class in wedding planning does not make a wedding planner, either.  You want to make sure your planner has done at least 50 weddings.  A good rule of thumb is also at least three years in business.  Do they have any lawsuits filed against them?  Bad sign.  Do they get lots of local and national press?  GREAT sign.

4) Do they have a variety of ways to plan, such as full-service (best for most brides), weekend of and hourly?  Are they reachable during most business hours and some after hours?  Don’t abuse it and call at 3 am in a panic, but expect that they will get back to you promptly when you have burning issues.  Planners live on their smartphones, so text and email as well.  They are super organized!

5) If they charge extra for rehearsal and rehearsal dinner, that’s a a red flag.  Great wedding planners will also take care of that and brunch the day after.  Your ideal planner may even offer to pack you for your honeymoon and make sure a car take you to the airport.  Soup to nuts is why you pay a premium for excellence!  If you opt for a more abbreviated planning experience, expect great attention and excellence as well.  ”Day of” is never really “Day Of” – your planner should start meeting with you a few weeks prior and know your wedding like the palm of his/her hand, double checking contracts, drawing up timelines, vendor lists  and being on-site for the big event, setup, breakdown and other parties.

6) Speaking of money – cheaper is never better with wedding planners.  A great wedding planner will pay for him or herself given they have the relationships with all the best vendors – they buy in volume and will get MUCH better prices for you on cakes, site rentals, floral design, stationery, photographers, caterers.  They know the BEST vendors in the business and will offer you many choices for each facet of your wedding.  Sadly, to a vendor, YOU are a one-trick pony (I know this seems harsh, but you only get married once, right?), but that planner is their bread and butter and they will go out of their way to please a planner.  What may seem a little steep is actually going to come out as a budget saver for you.  Great wedding planners will follow your budget to the letter and keep you there.  Awesome!

7) To that point, a wedding planner who takes kickbacks from vendors is NOT ethical or for you.  He/she is your advocate and charges you enough money.  This also means he/she will use the same vendors over and over, without regard for your personal style.  Double-dipping to line their pockets?  Run away.  It’s a valid question to ask.  It is unethical and  immoral.

8) Can your ideal candidates get you coveted appointments for the bridal fashion shows?  Get you a last-minute tasting at that great caterer?  Take you out to see a coveted band or DJ?  Get the most elegant papery quickly, without drama? Create the favors of your dreams and deliver them to the hotel or on a plane to your destination?  Go with you to fittings and help you with your registry? They must be able to do this!  They should also encourage you spend real time with your fiance and even order you to get massages, go to dinner with your beloved sans wedding talk and get your exercise and nutrition on track.

9) Does he/she quickly provide you with references, a plan of action, an outline of his/her services that is crisp, professional and aesthetically pleasing?  Are the contracts easy to read and decipher? All good signs.

10) Does he or she take more than one wedding or event per weekend?  Ideally, you’d like to be the only one.  Also, in looking at their online portfolio, do you see many different styles of weddings?  The wedding should be YOURS, not the planner’s style.  This is so very important.  It’s YOUR day – we are the hired help!

11) Finally, don’t be a diva.  Having a planner doesn’t mean you can order her around or belittle him or her.  That’s just bad manners and taste.  He or she is your partner and holds your big day in his or her capable hands.  If you have concerns, air them with grace and class.  A planner wants to please you, ensure a fantastic and gorgeous wedding experience and she usually has the answers you seek!  Now go and find your dream planner!

12) The right planner should make you feel like his/her only client.  Without a doubt.  You may see that they are busy, but you should always feel like top priority!  Also, follow them on Facebook and Twitter to get some creative ideas!  Great planners love social media and put great stuff out there for YOU!

A great wedding planner can be a lifesaver.  Do you really want to stand there in your gown and wonder if the cake arrived while getting your false eyelashes applied and listening to your mother ask about the escort card table?  A great wedding planner will no doubt have a huge suitcase filled with just about everything to ward off dress tragedies, hangovers, broken nails and annoying relatives.  They will order umbrellas if a monsoon blows in.  They can bring heaters if a cold snap comes.  They will dry your tears and deliver a gift to your groom.  They will make your beautiful day just beautiful.

To find a great wedding planner, go to the websites of your favorite wedding magazines, blogs, ask friends, check out online guides in your area, ask the receptions site that you think you love for the wedding and other vendors.  If you keep hearing the same names over and over those are the “go-to” folks.

Many couples who are planning to get married in the near future are eagerly searching for their very own personal wedding website. And why not? These sites can be fun and exciting, as well as very helpful not only for the couple in question but also for family and friends who want to keep abreast of all the events and latest news.

A well-crafted personal wedding website can offer the happy couple a lifetime of cherished memories they can share with everyone. Unlike a photo album which is somewhat restrictive in who gets to see it and who does not, an online space dedicated to the wonderful event can be viewed by all the family and friends, whenever they choose to visit.

Time and distance are no longer a consideration. Anyone with a computer and an Internet connection can visit the site and enjoy the memories and photos of the wondrous event regardless of where they may be.

But how does one go about getting a personal wedding website? While it is certainly true that you could create your own from scratch, you should first consider the challenges you will be faced with before going that route. At the very minimum you will need to know how to code your pages using HTML and perhaps CSS (Cascading Style Sheets). You will also need to know about graphics and how to best present them on the pages. This will involve sizing, resizing, cropping, etc. and that alone can be a very daunting task for many people. Then there is the issue of the special pages that you may want to have on your site. Things like gift registry, guest books, schedule of events, photo galleries, and such. These types of pages often require special coding and that, too, can prove to be too much for the average couple who simply want a great looking, feature-rich personal wedding website in as little time as possible.

There is another way, a much easier and faster process that will almost certainly fit anyone’s needs, budget, and timeframe. That process is to sign up with an established online company that specializes in this type of hosting and design and let them do the hard work for you. Many of these companies will allow you to select from a wide array of professional, pre-designed templates and then customize the templates to fit your individual personality and style. This is a great way to get a head start on your project, as it requires no advanced coding knowledge on your part. In general, you simply choose the elements you want to use and then add to the template those personal touches that you want to include on the pages. Nothing could be easier. You maintain the control of your website, make changes and updates anytime at your own pace, and can even take advantage of special features like online RSVPS, gift registries, budget managers, and more.

This is the fastest way of giving something for the couple. Put the gift card in an envelope with a little stuff toy.

Registering for wedding gifts is something many couples forget to do.  In the hectic planning stages, it is easy to overlook it.  But signing up for a bridal registry is crucial.

Buying a wedding gift is a very difficult task.  Unless you know the bride and groom very well, it’s hard to anticipate what they would want, what they could use, what they might already have, and what they really need.

 

You can make the job easier for your friends and family by registering.  When you go in to register for your wedding, you will be able to choose a number of gifts you’d like to receive.  You can tell your friends and family where you’ve registered, and they can go shopping at that store for gifts.  They will be able to see what you’ve registered for, and the store will keep track of what has already been purchased so there are no duplicates.

 

You may prefer to be surprised with what you receive, but just remember that you’re not doing any favors for yourself or your family.  They want to get you something you can really use and that you’ll both really enjoy.  If the two of you detest coffee, it would be very sad if you received a coffee pot, and even more so if you received two or three!

 

Besides, not everyone is likely to shop at the place you register with. Some people may not like that store, or they may be from out of town, or they may just have something very specific in mind for you.

 

But registering is one way to be sure that you’ll get at least a few things that you really need and want.  You’ll be able to help out those people who just don’t know what to get you, and you’ll be doing yourselves a favor in the process!

 

So don’t forget to set up your bridal registry.  And be sure to choose a variety of gifts for all budgets.  You may prefer more expensive gifts, but do remember to be kind to those whose budgets may not allow a more expensive purchase.

Traditionally, engagement gifts are given to a newly engaged couple as a way of congratulating them, as well as to wish them happiness and successful in their new life together. These gifts are much less extravagant compared to wedding gifts, and are usually given by close relatives and friends of the couple. Often, engagement gifts are practical items that can be used by the couple for their upcoming wedding.

Engagement gifts are not mandatory, thus engaged couples should not expect for them even if there’s an engagement party thrown for them. But people are used to prepare engagement gifts when there are announcements that sent out.

When presenting engagement gifts, one could present the gift directly to the couple before or on the day of the engagement party. If there’s no sending of announcements, the parents and close family members of the couple are usually the ones who prepare the gifts for the couple. Normally, throwing an engagement party occurs within a month or two of the actual engagement, and many invited people will likely be bringing gifts for the soon-to-be bride and groom.

Most people often opt for something useful to present as an engagement gift. Typically, they are practical items that can be used by both bride and groom to prepare their wedding as well as their future life together. Popular engagement gifts may include wedding planning guides, wedding references, and monetary gifts or gift certificates for wedding components such as photography, flowers, music, toasting glasses, guest book, cake server, and a lot more. Bridal magazines can also make a great choice. Parents may give a family heirloom to the couple or household items to help them start their new life together with the items they need for their new home. The soon-to-be bride and groom may also choose to exchange gifts with each other, which could be something that each one can use or wear on the day of their wedding such as jewelry, cufflinks, or watches.

Since engagement gifts are usually unexpected, most couples are grateful receiving them whether at their engagement party or even just during a usual day. The gifts are intended to congratulate them, from their close friends and family members who want to show love and support to them.

There are many couples that make their own wedding registry too early, letting their friends and loved ones choose engagement gifts off the list. Couples do this to make themselves well on their way to setting a new household before their wedding day arrives. However, this idea may not be that feasible since creating a wedding registry often requires a great deal of thought and effort.

The internet makes a huge source of engagement gifts and other wedding gifts. There are now plenty of websites that sell a wide variety of gift selections, from engagement gifts to bridesmaids and groomsmen gifts. Selecting them can be a lot of fun because one can customize his/her own choice with a bit of humor or anything that is desired.

There is so much involved when planning your wedding day.  You will want to save money but have a beautiful wedding at the same time.  You don’t want to be stressed and you want to be sure that it’s a day to remember. Read below for some hints and ideas to turn your special day into a day that you will always be proud of.

Most importantly, be sure to have the wedding that you have always dreamed of, not the wedding that your friends or family want.  This is your special day.

Try to do some projects on your own like centerpieces, favors and decorations to help save on cost.

Have the baker make a small wedding cake to cut and make sheet cakes or cupcakes for the guests.

To cut costs, instead of a sit down dinner consider having a reception that features cocktails and hors d’oeuvres, or a buffet.

If for some reason you don’t need household gifts, register instead on a honeymoon registry.

Instead of the traditional guest book, why not rent a photo booth and have guests have their pictures taken as they enter the reception?  Or you could have guests sign something different:  You could make a quilt of signature squares to have guests sign.  You could have a picture enlarged of the two of you and have guests sign the matboard surrounding it.  Why not purchase a table cloth to have guests sign or an umbrella?  Your options are endless.

I cannot stress enough the importance of commissioning good photographers.  When the day is done and all of your guests have left for home, your memories and your pictures are all that will remain.  Be sure to check the work of photographers thoroughly before deciding on who to hire and be sure that you are hiring two shooters.  You will need two if you want everything captured on your special day.  You might also want to make a list of all the shots you want your photographer to get.  It’s a busy day and if you try to go on memory you might be disappointed when you realize that you didn’t get what you wanted.  Appoint a family member to help work with the photographer to let them know who Aunt Sally is or Grampa Bob.

You might want to set up a bank account for your wedding expenses only.  This way you will be sure to stay within your budget.

The wedding invitation is still one area where etiquette remains an absolute must. The general rules of etiquette still apply, such as no abbreviations. However, there are five common etiquette mistakes that you can easily avoid. This will help the recipients of your invitations appreciate the time and energy you have put into this important piece of your wedding.

The Parents’ Names

This is a must if the parents are paying for the wedding. It’s a way of acknowledging their generosity and it means a lot to Mom and Dad. While it can be difficult to fit all the names in if there have been marriages and divorces, it’s simply worth the effort. Consider a tri-fold invitation to allow for enough room to be certain everyone is included. This should be done even if you and your soon-to-be spouse are paying for most of the wedding.

It’s also a great way for some guests to recognize who you are if they are colleague or an extended family member.  It only makes sense that these guests are more likely to attend if they know who you are!

One of the most common etiquette mistakes is to forego formal wording.  Many couples today make the mistake of using very informal or conversational language, in their wedding invitations. This is especially true if you are having an informal ceremony. However, this is one specific area where your wording needs to be traditional and include all of the right titles, spellings, and punctuation.

Misspellings or Omissions

This is simply not acceptable. When it comes to your guests’ names, there is no excuse for a misspelling. If you are not certain, make some phone calls until you have it exactly right. Take your time when addressing the envelopes. Make sure you include the proper title with each name. If you are in doubt, again, check to be sure it’s right.

Including Gift Registry Information

No matter how informal your invitations may be, this is never acceptable. If you want to include a card with your wedding website on it, that is acceptable. Guests can visit the website and see your wedding gift registry, as well as other important information. Many couples are turning to telephone and email RSVP’s as well, in order to conserve paper and be more environmentally conscious.

Using “Guest” to Identify a Guest’s Guest

If one of your guests has a fiancé or even a long-standing partner, do not use the word “guest” on the invitation. Take the time to find out their name. Call a relative or even call the person in question directly. They will appreciate the extra effort.
